KNEC clarifies policy for lost certificates.

The Kenya National Examinations Council (KNEC) has clarified its policy regarding the replacement of lost examination certificates.  

The council stated that it does not issue duplicate certificates but instead provides a Certification of Examination Results letter, which is legally recognized and can serve in place of the original certificate.  

A KNEC spokesperson explained, “We understand the inconvenience that losing an academic certificate can cause; our goal is to make the replacement process as smooth and efficient as possible. The Certification of Examination Results letter is fully valid and accepted in all instances where the original certificate would be required.”  They further explained that the certification letter is legally acceptable for all purposes where the original certificate would be required.  

STEPS TO OBTAIN A CERTIFICATION LETTER  

The process to obtain a Certification of Examination Results letter has been made straight-forward through KNEC’s online portal, the Query Management Information System (QMIS), where applicants will be required to create an account on the QMIS portal, where they will fill out an application form and submit necessary documents. These documents include:   

  • A copy of the lost certificate or result slip.   
  • A legal affidavit.   
  • A police abstract.   
  • Copies of personal identification documents   
  • Once the application is submitted, KNEC verifies the documents and delivers payment instructions via SMS.  

KNEC further explains that a statement of examination results is not a certificate and that both single and group certificates would be charged per stage. The application fee amounts to Kshs 5,220 (including VAT); following payment, KNEC processes the request, and the certification letter is usually available for pickup within 15 working days.
